With main office in Maputo and representativeness in Beira, Nacala, Tete, Pemba, Lichinga and Manica is looking for Administrative Supervisor based in Maputo city, reporting to Financial and Administrative Manager, under the below terms of reference.

1. Main Responsibilities and Tasks
- Supervises clerical staff and participates in their recruitment and selection processes.
- Coordinate of administrative and clerical work in an office.
- Monitors the performance of staff and provides feedback on their performance and conducts.
- Performs a variety of administrative and secretarial duties as required.
- Develop, maintain, and review administration systems to achieve maximum efficiency.
- Facilitate meetings, schedule debriefing meetings so follow up action can be implemented. Also, by arranging, refreshments, seating, and taking minutes.
- Responds to Financial & Admin Manager and other stakeholder queries in a timely and professional manner, both orally and in writing.
- Implement office operations, policies, standards, and procedures.
- Review and approve supply requisitions for office stationaries.
- Liaise with other agencies, organizations, and groups.
- Evaluates, develops, and recommends office procedures and practices to senior management.
- Ensures that approved office policies, practices and procedures are understood and followed.
- Tracks office or program expenditures by alerting the supervisor to budget overruns and unusual expenses and authorizing purchases.
- Plan and implement office systems, layout and equipment procurement
- Accident investigation and control of vehicles through CarTrack or other System existing in company.
- Maintain and replenish inventory, check stock to determine inventory levels.
- Performs other related duties as required.
2. Health & Safety
- Adopt, at all times, a safe behaviour by exercising due regard for the health and safety of SGS employees in line with SGS policies and procedures.
- Comply, at all times, with SGS Code of Integrity and Professional Conduct.
- Ensure team members comply with relevant procedures and work instructions.
- Ensure team members use correct templates and comply with ISO requirements.
- Work in accordance with ISO standards and requirements (17025,9001, 14001 and 45001
- Ensure full compliance with the Company’s Code of Integrity & Professional Conduct.
- Report all hazards, near misses and incidents.
- Always wear relevant PPE and comply with health and safety regulations.
- Participate in monthly safety talk with team members.
- Ensure that all waste produced by SGS is disposed of in an environmentally sustainable manner.
- Optimize resources in order to protect the environment
Habilitações
3. Qualifications and Experience
- Degree in Secretarial or Administration. Other related qualification.
- At least 3 years work experience in similar position.
- Ability to establish and maintain relationships.
- Good Verbal & Written skills and the ability to communicate at all levels.
- Flexible, self-motivated, and enthusiastic.
- Excellent planning and organizational skills.
- Excellent administration skills including filing and maintaining records.
- Able to work effectively with minimal management guidance/supervision.
- Personal commitment to achieving high performance within the workplace.
- Goals and results orientated.
- Familiar with ISO’s 9001, 14001, 45001 and 17025.
- Proficiency in Portuguese and English.
- Practical computer knowledge from the user’s point of view of MS Word, Excel, PowerPoint, CRM System programs (is an advantage).
